Automated resource management with AI tool

The client commissioned DI Experts to optimize resource management by introducing and integrating the AI tool "Perfect Match". The aim was to automatically assign incoming project requests to the most suitable internal employees and significantly speed up the application process.

A consulting company received new project inquiries every day via various online platforms. Matching suitable internal experts was previously a manual and time-consuming process, which meant that opportunities were regularly missed. The company was therefore looking for a solution to automate the matching process and increase responsiveness.

DI Experts analyzed the existing processes and implemented the "Perfect Match" AI tool. This evaluates incoming requests in real time, compares requirements with employee profiles and automatically suggests suitable candidates. The solution was integrated directly into Microsoft Teams so that a notification is sent immediately for every match. DI Experts also set up functions to document "no-matches" in order to uncover and close skill gaps in the team.

Automated matching makes it possible to suggest internal employees within an hour of receiving a request. Automating the screening process has reduced manual effort by over 80%, minimizing idle time and significantly improving resource utilization. At the same time, comprehensibly documented matching decisions ensure end-to-end data-based transparency.
