Introduction of a facility management system for a global service provider

Order

The client commissioned DI Experts to manage various sub-projects for the implementation of a market-leading facility management system. The focus was on the planning and execution of system tests, quality management and the migration of all inventory and transaction data.

Situation

An international facility services provider had concluded the largest software development and implementation contract in its history. As the new system had to intervene deeply in existing processes, comprehensive process optimization and close coordination of all stakeholders was required to ensure ongoing operations without interruptions.

Procedure

DI Experts established lean communication and release processes to manage system changes transparently and minimize disruptions after the go-live. Extensive test cycles were then carried out, bug fixes coordinated and re-tests organized to guarantee high release quality. In parallel, DI Experts used reverse business engineering to analyze the existing processes in order to convert unclear test specifications into precise business requirements. For the data migration, DI Experts developed a consistent data architecture concept and implemented ETL processes that ensured a complete and loss-free transfer of all relevant data. Finally, DI Experts defined governance standards and operational organizational structures to ensure the long-term operational readiness of the system.

Result

The introduction of structured project management methods, clear communication and approval processes and robust test procedures significantly reduced the go-live risks. The established data migration program transferred all legacy data error-free, ensuring the stability and integrity of the new system. With the governance guidelines and organizational structures implemented, the customer now has a sustainable operating environment and a solid foundation for continuous further development. All contractual requirements have been met and the project is on track for successful completion.
